Helping employees adopt the Flex Office: Ubigreen and Cenareo equip SPIE's Service Division

27/8/2021

Many companies are opting for a hybrid work model, offering their employees greater flexibility in choosing their working hours and location. These new models raise the issue of workspace management.

The hybrid working model at SPIE Industrie & Tertiaire's Tertiary division has enabled us to extract the following data: the occupancy rate of a dedicated office is around 60%.

With this in mind, SPIE took advantage of the opportunity afforded by the new showroom at its Toulouse site to set up a Flex Office, in which no one works in a dedicated office.

To support this change, SPIE has designed new workspaces capable of accommodating a highly variable number of employees. Every day, employees who come to the site settle down with their laptop at a free, ready-to-use workstation.

Distribute data in real time to guide employees

To support them in this process and to help employees adopt this change, SPIE turned to its partner IoT Valley, which designed a packaged offer combining Ubigreen and Cenareo solutions.

"The success of the project lies in the interoperability of the two solutions. Ubigreen measures the actual occupancy of the various workspaces, and Cenareo helps employees find open spaces to move into."

Anne Laure ARMAND, IoT Project Manager.

Ubigreen's Smartdesk solution measures occupancy in real time. It detects free spaces based on office and workroom occupancy.

By combining Ubigreen data with the Cenareoscreen-based communication solution, SPIE enables employees to :

  • Move to a non-assigned workstation as soon as they arrive on site
  • Organize different activities during the working day

The system can also be used for on-screen communication campaigns.

The solution

  • 117 Smartdesk sensors on 99 workstations and 18 meeting rooms
  • 2 communication screens at the entrance to the space
